Position Description

The Center for Space and Habitability (CSH) at the University of Bern invites applications for a Secretary position (40%) to provide administrative and bookkeeping support for the Center and its projects, manage the administrative office (Studiensekretariat) of the Master's programme in Space Sciences and Astronomy, and assist with the organisation of meetings and outreach events.

Tasks and responsibilities

The jobholder will be responsible for the following tasks:
  • Serve as the first point of contact for students, prospective students, and lecturers on administrative matters related to the Master's in Space Sciences and Astronomy
  • Support the administration of teaching activities, including lecturer contracts, KSL maintenance, room reservations, and student documentation
  • Manage bookkeeping and financial administration of the CSH and outreach activities, including orders, invoices, reimbursements, procurement, and annual closing activities
  • Provide general administrative support to the CSH staff and their projects, including travel arrangements, calendars, meeting minutes, and office management
  • Support the organisation of teaching, research, and outreach events
  • Participate in meetings and perform other related administrative duties as required

Requirements

  • Completed commercial apprenticeship (Kauffrau/Kaufmann EFZ) or an equivalent qualification, together with several years of professional experience in a comparable role
  • Proven experience in accounting and financial administration
  • Excellent written and spoken German and English (C1 level or higher)
  • Strong proficiency with Windows or macOS and common digital tools, including Microsoft Office, OneDrive, Teams, and Zoom
  • Ability to learn quickly and work independently
  • Motivated, goal oriented, efficient and team player
  • Confidence working in an international environment
  • Availability to work a full day on Tuesdays and either one additional full day or two additional half-days per week
  • Familiarity with the organisation, administrative processes, and tools of the University of Bern would be an advantage

Organisational context

The position is based at the Center for Space and Habitability (CSH), University of Bern. The jobholder will lead the Studiensekretariat MSc. Space Sciences and Astronomy, manage the CSH bookkeeping and accounting, and support the CSH outreach officer.

Employment conditions
  • Workload: 40% Contract duration: 31.12.2029 with the possibility of extension following the funding cycle of the CSH.
